Vocantas Automated Shift Fill – Frequently Asked Questions
What is Automated Shift Fill (ASF)?
ASF is software used by the Staff Scheduling Office to send shift offers simultaneously to employees via phone, mobile app, or both. ASF also allows employees to manage their shift offers and contact preferences. Staff can choose their method of contact. If you do not want to receive phone calls, deselect the option in the employee portal or you will continue to receive both.
Why is ASF being implemented?
ASF will streamline the shift offer process for employees and the staff scheduling office.
The current process requires Staffing Clerks to manually call employees to fill shifts. This is a time consuming process and as a result, not all shifts are filled.
In addition, we have implemented Cliniconex to broadcast shifts in the interim through a mass text until ASF could be implemented. The mass text process requires staff to respond to shift offers through phone or email rather than receiving and responding to the shift offer all in one place.
What are the benefits of ASF?
You can choose how you want to be notified of shift offers—by mobile app, phone call or both. The system offers an optional notification when a shift you bid on is awarded to someone else.
- A call log (history) of all your shift offers and bids.
- More time to respond to shift offers as an immediate response is no longer required:
-15 min window for shifts 24 hours or less.
-1 hour window for shifts that begin more than 24 hours and less than 48.
-6 hour window for shifts that begin more than 48 hours and less than 96.
-24 hour window for shifts that begin more than 96.
Who is participating in the ASF implementation?
Employees part of ONA, OPSEU Service Clerical & OPSEU Paramedical unions who are covered by the Staff Scheduling Office.
